Quick implementation of Salesforce is designed for smaller companies or teams that need a simple system configuration. The basic implementation (for example, Salesforce Sales Cloud) is a service that usually includes several licenses (users of the system) – you can start the work with the system with one license and develop the system as the organization expands.

This type of implementation starts with a workshop with the client. Its goal is to gain a full understanding of the customer’s needs and specific business activities. At this stage, we also advise which functionalities of Salesforce will be most needed in the organization and what business areas will be improved. The stage of business analysis usually takes one day at the client’s office.

After completing the initial workshop, we proceed to configure the system and adapt it to customer needs according to the concept created during the workshop. This stage results in a Salesforce instance that is ready for testing.

The extended implementation of Salesforce is designed for medium and large organizations. This type of service is a guarantee that the system is fully adapted to the customer’s needs. Usually, such implementation covers more than one Salesforce application (for example, an integration of Sales Cloud and Service Cloud).

In complex projects, it is crucial to have a digitization strategy and an experienced partner who will take care of its implementation. Their task is to build custom solutions to satisfy the most complicated business requirements. We synchronize the system with other tools used by our clients. We focus on the usability and reliability of solutions so that our customers can focus on their core business.

The duration of the extended implementation is closely related to the size of the project, the number of implemented solutions, and the number of users of the future Salesforce instance.

The most important success factor in this kind of project is deep understating during the initial workshop. Its result should be a wide implementation concept based on conscious business analysis. Workshops will last at least two days and should take place on customer premises.

The configuration of the system begins as soon as the implementation concept is ready. We usually work in two-week iterations, which means that we close specific areas of the project every two weeks, and the results of our work are constantly consulted with the client. With this approach, we can familiarize them with the system as soon as possible. That way the client can be sure that no solutions inconsistent with their ideas and expectations get introduced. It’s also worth mentioning that depending on the needs of our customers, we can almost freely personalize their Salesforce instance, ensuring the best experience. Using Salesforce technology, we can even build a custom component from scratch as an independent tool or add it to a personalized SF instance to create a tailor-made solution.

Implementation stages

Each project is unique, but usually, a more complex Salesforce implementation is divided into four key stages and the success of each of them is measured by several factors.

1. Solution Design

At the beginning of the project, our goal is to define, together with the client, a low-level design of the implemented system. We create project documentation, understand client processes and strategic goals, build a project team, thoroughly discuss the scope of the project and agree on it, build a comprehensive IT architecture, define measures for success and choose the Salesforce power users on the client’s side. If some complex elements require a more detailed overview, especially in the case of integration, we create a Proof of Concept (POC) of the solution.

2. Build

We create a robust, scalable system, check the progress of work on a regular basis and provide transparent reporting, plan the structure of future integration of Salesforce with other solutions, define a clear project plan with role and time allocation. Delivery work on a Build phase is typically divided into two-week sprints.

3. UAT (User Acceptance Tests)

As part of the UAT phase, we create testing scenarios for users, provide them with a safe testing environment, gather feedback from all involved, and provide user training. Prepare data for the migration to the new solution and define a clear deployment plan before the project’s final phase.

4. Go-live and hypercare

At this stage, we plan the switching period from one system to another. Then we launch the system and train its users so that they feel comfortable in using it. We also manage updates – both Salesforce releases that occur three times per year as well as improvements proposed by the customer. We support clients to lead the change related to new systems to ensure their full adoption. We also measure the results and act accordingly.
